Participants are requested to register for this conference by using the registration form

If you like to apply for presenting a poster, please use the same registration form and complete the corresponding fields.

The conference registration fee is 50 Euro.

Refunds for cancellations cannot be made. If you have to cancel, please note, that registrations may be transferred to another member of your organization at any time.

Due to data protection rules we are asking for your permission for storing and using your contact details as provided in your registration form for purposes defined in the form. Please complete, sign and return this form together with the registration form to the address given.

Platforms used

Platform for lectures

 

We will use the DGM Inventum platform for life streaming of the talks and Q&A after the life talks. The live talks will take place by using Zoom which is a sub-contractor of DGM Inventum. All talks will be recorded and made available to only those participants who are registered with the platform.

This platform is open for registered participants only.

Platform for networking

 

We will also use the DGM Inventum platform for the display of the posters, Q&A at the posters in both via written chats and live chats in dedicated rooms with up to 25 participants.

In addition, there will be dedicated meeting rooms that allow all registered participants to meet the speakers, to meet at the virtual coffee bar for informal chats in dedicated meeting rooms with up to 25 participants, and to talk in 1:1 chats. This networking is carried out using Jitsi Meet which runs on DGM Inventum servers.

Terms and Conditions

for participating in the audio and/or video conference of the Beilstein-Institut zur Förderung der Chemischen Wissenschaften

 

  • Every invitation by the Beilstein-Institut to an audio and/or video conference is a personal invitation. The access data sent to the Beilstein-Institut is personal and may not be passed on without consulting the Beilstein-Institut.
  • Our Privacy Policy provides information on the data protection conditions for your participation.
  • By releasing a comment within and after the conferences or forums, you agree that your statements may be made available to other participants. All participants are responsible for the contributions they publish.
  • Any form of discrimination or defamation of people or groups based on their origin, religious affiliation, nationality, physical condition, sexual identity, gender, income or age will not be accepted.
  • Insulting, inciting, defamatory, pornographic, inflammatory, harmful to young people or even punishable statements will be deleted.
  • In the case of links to external websites, we reserve the right to check linked content and, if necessary, to remove the URL or the entire comment in the event of violations of these conditions by the linked content.

 

  • It is not permitted to record the conference or parts thereof. The unauthorized recording of non-public conversations is punishable by law.
  • Discuss objectively. There is no place for unobjective and/or insulting comments. Refrain from provoking others personally and observe the rules of politeness, as in a direct conversation. 
  • Make sure that you have the rights to distribute the content you publish. Quotations must be correctly marked as such, even if they are very well known. Respect the copyright.
  • Respect the personal rights of your fellow human beings and the right to your own image. Do not publish personal such as addresses or phone numbers. .
  • In order not to exclude anybody, the prevailing conference language (English) should be used if possible.
  • We look forward to your participation and wish you and us interesting contributions and an enriching exchange!

With your participation in our audio and video conferences, a large number of data processing operations are carried out and personal data are processed. We have commissioned services that can guarantee a high level of data security.

4. Purposes and legal basis for processing

If you have given your written consent, we may also use your personal data for advertising: the reporting about the conference on social media platforms and on our conference website, to inform you about current and subsequent related Beilstein products and Beilstein events and for contact you for surveys on services provided by the Beilstein-Institut.

If you have given your written consent, we may also use your personal for production and publication of a conference video.

We are thus pursuing our foundation's purpose of promoting the chemical sciences and related fields.

Your data will be processed on the basis of Art. 6 Para. 1 letters b) and f) GDPR. In case of your explicit authorization for advertising or video production we use your data on the basis of Art. 6 Para. 1 letter a). GDPR.

 

5. Recipients or categories of recipients of the personal data

Your personal data is not only collected, used and stored by us, but also by the operator of the respective conference service. Our service provider processes the data on our behalf.

We use the Germany-based provider DGM-Inventum GmBH (“DGM”) as a platform to host the entire conference, including video conferencing, participants’ administration and submission processing (DGM-Inventum GmbH, Marie.Curie-Straße 11-17, 53757 Sankt Augustin, Germany). DGM uses services from the US-based provider Zoom Video Communications, Inc. (“Zoom”) for live streaming. Zoom processes personal data on the basis of an order data processing contract with DGM.

All other conference functions of DGM, such as poster presentation, break-out rooms and chats run on the DGM servers with Jitsi Meet.

Your name and your contributions and comments will be shared to other participants of this conference. 

In case of your explicit authorization your talk will be public presented to interesting users in a conference video, made available by us or scientific partners like TIB Hannover.

 

6. Duration of storage of personal data

The data will be deleted in compliance with the statutory retention periods. This means in relation to correspondence we delete data after 6 years and in relation to invoicing we delete data after 10 years. If you give us permission to use your data for marketing purposes, the data will be deleted when you withdraw your permission.

Given talks, comments, discussions and poster and software contributions will be recorded, stored and made available for all participants for 2 weeks on our conference website and then all these data are deleted.

The conference video will be stored and presented for at least 2 years and will be deleted when the purpose has ceased to exist.

 

7. Rights of data subjects

According to the EU data protection basic regulation you have the following rights:

  • if your personal data are processed, you have the right to receive information about the data stored about you (Art. 15 GDPR).
  • if incorrect personal data are processed, you have the right to have them corrected (Art. 16 GDPR).
  • if the legal requirements are met, you can demand the deletion or restriction of the processing and object to the processing (Art. 17, 18 and 21 GDPR). Please note, however, that if you do not provide the required data, your application cannot be processed.
  • should you exercise your above rights, the Beilstein-Institut will check whether the legal requirements for this are fulfilled.
  • you can revoke your written consent for the use of your personal data for advertising at any time with effect for the future.
